Depends on what quality and type of video recording. If professional,
we usually contract local companies, else we have few friends that we
call...
OK, if it is not certain, I sometimes bring my DSLR to events. The
downside to this solution is the 30 minute maximum recording time in
DSLR cameras, unless somebody has hardware to record from the HDMI
output. For audio I have a mic that mounts on the camera and a Rode
SmartLav+ that speakers can attach to their phone and record themselves
with Diktofon:

Diktofon includes some patches I contributed to optimize this type of
recording (disable AGC, 48k bitrate)
- can you give examples of catering budgets, e.g. to provide lunch and
refreshments?
We can get super good restaurant finger food (chicken fingers, wings,
meatballs etc) for ~200EUR for ~50ppl, or bakery stuff which is cheaper.
OK, the DPL has given approval for EUR 7.50 per person, up to a limit of
EUR 200. If you think we need to spend more than that, do you think it
might be possible to find any local sponsors too?
- how many people can fit in an event at the hackerspace?
Whole house, all rooms, approx 80-90.
Biggest room (Solvay) without tables 40ppl.
If there is a video setup in the room (tripod, camera operator), I guess
that would bring the capacity down to 35?
How many people do you suspect might come? I guess not everybody will
watch every talk so this could be OK.
- are there other potential venues, with or without a fee?
There's AUK/RIT university with a 120-130 ppl capacity conference room
and other small class rooms equipped with PCs that can host around
18-20 ppl each.
They usually don't charge, but it depends on the nature of the event
mostly I believe...
OK, as Debian is completely non-profit and volunteer-driven we often
find venues are quite comfortable. Some other free software projects
are operated by commercial entities and that makes it harder for some
venues to accept them.

Yup.
I could request funding for stickers too, could you give an example of
costs? Are there any Debian stickers you saw that you would like, or
would you like to make one with Albanian text?
