MiniDebConf: volunteering for tasks, things to bring

Hi all,

Here are some potential tasks that need assistance before the event or
on the day

- building the schedule and communication with the speakers before the event

- introducing the speakers

- audio recording for the speakers (fitting and removing their microphone)

- video recording / operating the camera

Audio and video need separate volunteers and probably multiple
volunteers so people can take breaks, it doesn't matter if you never did
these things before, the tasks are very basic and I can show people what
they need to do.

Things to bring:

- lapel microphone and transmitter or smartphone (I can bring a Rode
SmartLav+, works well with Diktofon from F-Droid)

- other microphone(s) for audience interaction

- proper video tripod with pan and tilt controls - I can bring a small
tripod if nothing else is available

- device for recording from HDMI (my DSLR) to HDD. Without this,
recording stops and has to be restarted every 30 minutes due to
crippleware in DSLR firmware

- SD cards for recording (I have some already but it is always good to
have spares)

- another DSLR or even a premium webcam for recording the room from
another angle

- power cables for camera setup

- anything else?

Maybe we can put these lists on the wiki page in tables where people can
add their names?

We haven’t decided yet whether it’s gonna be 1 or 2 day event!?

Could we maybe cover any travel costs for a regional speaker, exc 40eur per person?

How soon do you need to confirm this?
Have there been any communications from potential speakers not
already listed on the wiki?
People can submit travel requests to If there are multiple requests under EUR 100, it may be better to
batch them together into a single email
The email should include the following:

  • name of each person
  • confirmation about their talk topic, how it relates to Debian or
    one of the themes of the event, e.g. diversity or other factors
  • expenses (hotel, bus, etc)
    There are wiki pages with full details of the expense process[1]
